POSITION 1 : SENIOR GENERAL AFFAIRS COORDINATOR / GENERAL AFFAIRS COORDINATOR
(The title of Senior General Affairs Coordinator / General Affairs
Coordinator will be commensurate with qualification and experience.)

JOB PURPOSE: Assist GTSI leadership with comprehensive administration of the institute.
Serve as the custodian for institutional records inventory and databases.
Contribute to the preparation of reports, proposals, briefings, presentations,
and responses pertaining to GTSI administrative matters.
IMPACT & INFLUENCE: This position will interact on a consistent basis with:
GTSI leadership, faculty, staff, government agencies.
KEY RESPONSIBILITIES:
• Serve as a liaison with various institute offices
in support of the overall GTSI operations.
• Prepare and present summary information and
briefing documents to senior management.
• Support senior management in the management of
official correspondence and communications including letters, emails, speeches,
presentations and acknowledgments.
• Maintain and update databases regarding institute
records storage and retrieval.
• Carefully organize and maintain confidential
documents.

POSITION 2: ACADEMIC PROGRAM COORDINATOR
LOCATION: Shenzhen, China

JOB PURPOSE: Provide administrative and logistical support to students and
academic programs. Serve as an information source in such areas as policies,
procedures, activities and programs involving campus life.
IMPACT& INFLUENCE: This position will interact on a consistent basis with:
students, faculty, staff, parents.
KEY RESPONSIBILITIES:
Duties may include but are not limited to:
• Respond to inquiries from students (in person,
phone, email and social media) regarding a variety of issues such as visa,
arrival procedures, lodging, tuition and fee payment, banking, telecom,
transportation etc; refer to other areas as appropriate.
• Coordinate student related services and
activities with Georgia Tech or Tianjin University as needed.
• Generate reports related to student activities
and educational outcomes.
• Assist students in case of illness or emergency.
• Update student records and files.
• Ensure classrooms and A/V equipment are in good
working order.
• Print/photocopy class materials upon request from
instructors.
• Assist with hiring, training, supervising, and
evaluating student assistants.
• Perform general clerical duties such as preparing
mass mailings and maintaining office supplies.

POSITION 3: HUMAN RESOURCES COORDINATOR

JOB PURPOSE: Perform activities in human resource management fields including
recruiting, on-boarding, benefits, and training. Serve as information resource
on human resources related processes and procedures as well as initiating and
processing of HR documentation.

staff, postdocs and student employees.
KEY RESPONSIBILITIES:
• Participate in the establishment, implementation
and update of GTSI human resources policies and procedures.

• Maintain personnel files and records.

POSITION 4: CAMPUS PLANNING COORDINATOR

JOB PURPOSE: Provide high level, specialized administrative and technical
services to the planning and execution of plans, guidelines and standards
related to the development of GTSI campus space.
IMPACT & INFLUENCE: This position will interact on a consistent basis with: GTSI
management, outside designers and consultants, Shenzhen government offices.
KEY RESPONSIBILITIES:
• Assist with the research and preparation of
programmatic, architectural, environmental, and/or other analyses and syntheses
based on space portfolio of campus constituents.
• Assist with the development of institutional
standards for space utilization.
• Coordinate space planning meetings and
activities.
• Prepare correspondence and presentation for space
planning meetings and briefings.
• Develops meeting reports and address follow up
action items for GTSI management.
• Meet with and review project requirements with
contractor representatives.
• Perform other related duties as assigned.

POSITION 5: CAMPUS SERVICES COORDINATOR
LOCATION:Shenzhen, China

JOB PURPOSE: Coordinate the operation of GTSI campus services
and property management. Ensure that the material and service requirements of
GTSI are met in a timely, efficient, effective and ethical manner. Maintain
records and generate reports related to property inventories.
IMPACT & INFLUENCE: This position will interact on
a consistent basis with: faculty, staff, contractors and vendors.
KEY RESPONSIBILITIES:
• Coordinate a diverse set of
campus service functions including student housing, faculty apartments, dining
services, campus vending, campus access.
• Coordinate preventive
maintenance, landscaping, utilities, elevators, and plants operations.
• Work with campus vendors to
ensure delivery of quality products and services.
• Advise suppliers regarding
institute procurement policies, procedures and practices.
• Coordinate and facilitate
communications between supplies and campus end-users.
• Participate in physical
audits of property items.
• Enter, verify and review
transactions into the asset management database to include additions, transfers
and retirements.

JOB PURPOSE: Perform basic accounting related duties in support of the
Institute’s accounting functions.
IMPACT & INFLUENCE: This position will interact on a consistent basis with:

KEY RESPONSIBILITIES:
• Verify the accuracy of accounting related
documents such as invoices, requisitions, purchase orders, time sheets, etc.
Process for payment.
• Process reimbursement requests.
• Ensures compliance with receipting policies and
procedures are met prior to posting payment.
• Maintain accounting records.
• Assist with the preparation of financial
schedules and reports.
• Assist in conducting operational reviews to
determine compliance with applicable policies and procedures, as well as legal
requirements.
• Assist in evaluating the adequacy of internal
controls and make recommendations for revision as required.
• Ensures accounting files are organized and up to
date.
• Provides information, documentation, and answers
to external audit requests.
